IN A NUTSHELL
Counseling Service of Addison County needed to upgrade their antiquated accounting software to increase performance. Locating data was time consuming and cumbersome, and it was almost impossible to import data from external sources.
“Before we implemented Dynamics GP, we did not have the software functionality we needed. Now we have all the functionality we need with a bonus of cost savings through efficiencies,” says Bill Claessens, CFO.
Counseling Service of Addison County (CSAC) is a nonprofit organization serving individuals with behavioral health, developmental disabilities needs. They also offer Addiction recovery and emergency services. They are one of 10 Designated Agencies designated by the State Vermont Agency Of Human Services.
Counseling Service of Addison County had two main challenges. The first challenge was their accounting software, which was outdated and did not meet their needs. Next, “Our accounting software was part of a bigger software system used to manage our operation. Unfortunately, another company bought them. As a result, we felt vulnerable of what might happen if the new company stopped supporting the software” says Bill.
Counseling Service of Addison County was able to streamline its accounting process by implementing Dynamics GP deployed in the Cloud on Microsoft Azure and Office365. The ADS team created a bridge to bring transactions into Dynamics GP from their EMR system. Additionally, they created application software that allows fast and easy importation of data from other sources like Excel or expense reports. Cloud computing offered them a new level of functionality. Additionally, they were able to share the Azure server platform with other designated agencies in their area, which resulted in cost savings. “While we did experience overall benefits from the complete package recommended by ADS, I think our greatest benefits came from Dynamics GP and Azure. For instance, ADS supplied a solution to take information that was stored on Azure from Dynamics GP. Using proprietary software, ADS created a dashboard we use to report to our board of directors each month,” recalls Bill. “There were residual savings and efficiencies from the other components, but our primary benefits came from those two. The ability to have greater detail in data and the ease of manipulating data into Dynamics GP really worked well for us,” says Bill.
THE FINAL WORD: CFO BILL CLAESSENS
“ADS spent time with us diagnosing the problem – like a doctor would with a patient. The transition to the new system was seamless. That led to a collaboration with another designated agency whereby we shared some resources, particularly training on the Dynamics GP, as well as sharing space in the cloud that housed the information.” “Certainly, the transition went better than we had ever expected. The ADS team obviously had valuable experience and we were able to meet our timelines. While there might have been a blip or two, overall ADS was responsive, honest and trustworthy.”
